This Privacy Policy describes how Job Rovers (“Job Rovers”, “we”, “us” or “our”) collects, uses, stores and shares personal information when you access or use our website, mobile interfaces, and recruitment platform (collectively, the “Platform”). Job Rovers is an international ESL teacher placement service with operations focused on Vietnam and Southeast Asia. Teachers and schools use the Platform to connect, interview, contract, and complete work-permit processes.

By using the Platform you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with any part of this policy, you should not use the Platform.

1. Who we are

Job Rovers operates the Platform available at jobrovers.com and related subdomains. Questions about this policy or requests to exercise your privacy rights can be addressed to support@jobrovers.com.

2. Information we collect

We collect the following categories of personal information:

  • Account information — name, email, password hash, role (teacher, school HR, agent, admin), phone number, country, and login timestamps.
  • Profile information (teachers) — nationality, subjects, grade levels, years of experience, bio, introduction video, profile photo, education history, work experience, certifications, date of birth, preferred locations, and availability.
  • Document uploads — bachelor's degree, teaching certificate (TEFL/TESOL), passport, C1 English certificate, background check, reference letters, and medical certificates.
  • School information — school name, address, school type, HR contact name and email, job postings, and review responses.
  • Agent information — agent ID, contact details, assignment records, and commission data.
  • Platform activity — pipeline status, interviews scheduled, contracts signed, messages exchanged, work-permit progress, and training completion records.
  • Technical information — IP address, device type, browser version, session cookies, and error logs.
  • Payment information — billing details for teacher subscriptions and boost purchases, processed by our payment provider (Stripe). We do not store full card numbers.

3. How we use your information

We use personal information to:

  • Match teachers with schools based on profile, documents, and preferences.
  • Verify teacher credentials and enforce document requirements (degree, TEFL, C1/IELTS for non-natives).
  • Schedule and conduct interviews via the Platform's integrated video tool.
  • Generate, send, and digitally sign employment contracts between schools and teachers.
  • Track work-permit and visa progression for placed teachers.
  • Process payments for teacher subscriptions and promotional boosts.
  • Send transactional emails (interview reminders, contract notifications, work-permit updates).
  • Detect and prevent fraud, duplicate accounts, and abusive behavior.
  • Improve the Platform through aggregated analytics.

4. Legal bases for processing

Where the EU General Data Protection Regulation applies, we process personal information on the following legal bases:

  • Contract — to provide the recruitment services you have signed up for.
  • Legitimate interest — to operate, improve, and secure the Platform.
  • Consent — for optional features such as marketing emails or shared profile visibility.
  • Legal obligation — to comply with tax, immigration, and labor-law requirements in the countries where we operate.

5. Sharing your information

We share personal information only with:

  • Schools reviewing your teacher profile (only after you opt in to visibility).
  • Agents assigned to help coach, onboard, or support you through the process.
  • Payment processors (Stripe) for subscription and boost billing.
  • Email and hosting providers (Resend, Railway, MongoDB Atlas, Cloudinary) as data processors acting on our instructions.
  • Government authorities when legally required — for example, when submitting work-permit documentation to Vietnamese immigration authorities.

We do not sell personal information to third parties, and we do not share it with advertisers.

6. International data transfers

Because Job Rovers operates a cross-border recruitment platform, personal information may be transferred to, stored, and processed in countries other than your own, including Vietnam, the United States, and the European Union. We rely on contractual safeguards and use providers that comply with applicable cross-border transfer rules.

7. Data retention

We retain account and profile information for as long as your account is active. If you close your account, we may retain limited records required for legal, tax, or dispute-resolution purposes — typically up to seven years. Documents uploaded in support of a placement (contracts, work permits, credentials) are retained for the duration required by the relevant authority.

8. Your rights

Subject to local law, you have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Delete your account and associated data (subject to legal retention obligations).
  • Object to or restrict certain processing.
  • Withdraw consent for optional features at any time.
  • Receive a portable copy of your data in a structured format.
  • Lodge a complaint with a supervisory authority (e.g. your local data protection authority).

9. Security

We protect personal information with encryption in transit (HTTPS), hashed passwords, access controls, and regular backups. No system is 100% secure, and we cannot guarantee absolute security. If you suspect your account has been compromised, contact us immediately.

10. Children

The Platform is not directed to children under 16 and we do not knowingly collect their personal information. If you believe a child has provided us with personal information, please contact us and we will delete it.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and, where changes are material, notify active users by email. The “Last updated” date at the top of this page shows when the policy was most recently changed.
